Summary:

Provides administrative support to the Vice President Operations; is responsible for the planning and co-ordination of meetings and for communication with internal and external personnel; is the central control responsible for the administration of data input.

 

Specific Responsibilites:

  • Maintains the centralized Strore Profile Access Database for Head Office and website use (e.g. store hours, stores services and store photos).
  • Prepares timesheets for Operations Support.
  • Co-ordinates the vacation schedules and personal days off all Field Operations Staff, Field Directors, District Managers and Vice Presidents. Revises master vacation schedule as required.
  • Updates, maintains and distributes statistical information for Division including placement of Store Managers and Assistant Store Managers and tracks special assignment personnel.
  • Receives and screens communications to the Vice Presidents including telephone calls and emai messages and provides assistance using independent judgement to prioritize, channel and facilitate communiucation.
  • Reviews and summarizes miscellaneous reports and docuemts; prepares background documents as necessary (e.g. Shrink, P&L).
  • Arranges travel and accomodation for Vice Presidents.
  • Controls Operations Boardroom booking and calendar.
  • Composes and types correspondence.
  • Assists in the preparation of the administrative budget East and West Dvisions by coordinating all expense figures and preparing an explanation on all submissions for each Accounting expense line.

 

Qualifications:

  • College diploma or University studies (certificate)
  • 3 years work experience in office environment as Executive Assistant an asset.
  • Strong knowledge with Microsoft Office Suite; intermediate skills using Excel and Word, advanced using Powerpoint.
  • Ability to adapt and be flexible to unexpected circumstances, peak periods and changing priorities.
  • Excellent verbal and written communication
