The Executive Assistant provides complete and confidential administrative support to the VP and Directors including general clerical support and reception duties for department


Specific Responsibilities:


  • Prepare and distribute memos, letters and other documents
  • Open, sort, prioritize and distribute incoming and outgoing mail
  • Co-ordinate travel arrangements including flights, transportation, and hotels for the department
  • Manage calendars, appointments, meetings and all matters pertaining to the schedules, as required.  Updates and prepares travel log information and expense reports.  Manages company car related tasks.
  • Co-ordinate, maintain and track project-based work, reports, contact lists, organizational
    charts and other files as assigned
  • Complete security requests for new hires and additional permissions as requested
  • Make necessary arrangements for internal and external meetings and events including booking conference rooms, ordering refreshments and special audio/video equipment, support planning of annual SMC and other internal events
  • Review and summarize miscellaneous reports and documents; prepare supporting documents as necessary
  • Receive and screen e-mail communications for the VP and provide assistance to prioritize, channel, and facilitate communication
  • Coordinate department activities, schedules and projects; develop and recommend office procedures and systems; ensure smooth office operations
  • Prepare and submit Department timesheets to Payroll for processing
  • Follow-up to ensure payment of vendor invoices & manage department supply orders
  • Others duties as required to ensure successful execution of key marketing initiatives, communication campaigns and community investment initiatives.




  • Post - Secondary education (Certificate/Diploma/Degree)    
  • 3-5 years work related experience    
  • Strong knowledge with Microsoft Office Suite; intermediate skills using Excel and Word, advanced skills using PowerPoint    
  • Ability to adapt and be flexible to unexpected circumstances, peak periods and changing priorities    
  • Strong administrative management skills    
  • Excellent verbal and written communication skills.
