Summary: 

The Maintenance Clerk assumes all tasks related to the maintenance expenses for the stores and DC's. This includes, but is not limited to, processing invoices and credits in a timely manner, issuing PO's, and completing various reports. 

 

Specific Responsibilities: 

  • Manages accounts payable - prior to payment, examines invoices to determine the accuracy of the expenditures, ensures all costs are correct, selects the proper account, enters for payment. 

  • Prepares documents relating to PO requests, gets internal approval, and issues PO's 

  • Prepares complete and accurate reconciliation accounting reports in timely manner. 

  • Responds to various queries from clients (vendors, stores) and Maintenance personnel pertaining to maintenance issues in a timely manner. 

  • Keeps various reports and spreadsheets accurate and up to date. 

  • Analyses vendor's account/billing problems and acts as a liaison with vendors regarding account reconciliations. 

  • Assists supervisor and/or Manager with investigating and responding to various inquiries. 

  • Participates in various projects and multi-store roll-out as the main administrative source (end of year project closing, project opening, contract entries.)   

  • Files all related documents. 

  • Executes all other related tasks requested by their respective supervisor. 

 

Qualifications: 

  • College studies (2 years) with focus on accounting. 

  • 1-3 years relevant experience in an office environment. 

  • Intermediate level knowledge of MS Office. 

  • Excellent data entry skills (fast & accurate). 

  • Ability to manage and organize workload. 

  • Excellent communication skills, both written and verbal. 

  • Working knowledge of SAP an asset.

Internally - Stores, Maintenance team, and various departments. 

Externally - Vendors & suppliers
